- Managing the entire recruitment process within the project, encompassing tasks such as identifying vacant positions, obtaining management approval, collaborating with the recruitment team on available roles, monitoring and analyzing recruitment progress to minimize gaps, negotiating compensation and benefits, persuading skilled candidates to accept offers, and overseeing job ads and the recruitment database.
- Overseeing Onboarding and Orientation procedures to guarantee timely completion of visa, documentation, and onboarding formalities. Ensuring a comprehensive orientation to new hires, addressing queries, and ensuring familiarity with company policies to expedite peak productivity.
- Creating HR Manuals, Policies & Procedures, Employee Handbook, and Job Descriptions aligned with Head Office principles and project Quality Control standards.
- Supervising the Payroll process involves verifying timesheets and approved overtime by HOD and Management, reviewing payroll sheets for accuracy, forwarding them for approval, ensuring timely and accurate payment transfer upon approval, and conducting monthly Payroll Reconciliation to maintain accurate records.
- Managing Employee Relations involves proficiently communicating with employees, addressing grievances, and bridging the gap between employees and management.
- Efficiently resolving workplace conflicts with utmost confidentiality, coordinating employee engagement activities with management approval, and nurturing a positive workplace culture.
- Overseeing HR Planning involves collaborating with Planning & Project Control to establish project staffing budgets, assisting Cost Control in quarterly and yearly HR budget creation, and reporting to Head Office via TM1. Generating monthly, quarterly, and yearly HR reports to monitor departmental progress, particularly focusing on turnover rate and implementing strategies to enhance Employee Retention.
- Administering Pay & Benefits involves crafting equitable packages and incentives to foster employee retention and conducting market research to attract suitable candidates and enhance the company's value.
- Conducting Quarterly and yearly performance management in collaboration with HODs to assess employee potential and career advancement trajectory using a metrics system. Performance appraisals are then developed based on evaluations with management approval.
- · Identifying any work-related training needs and checking the budget and getting management approval on the same and then passing it to Purchase department for services negotiation.
- · Overseeing contracts, proposals, and tenders from Recruitment Agencies, Medical Insurance Companies, HRMS & Payroll System and Job Portals, and recommending the optimal choice for Management Approval. Serving as the primary contact for all HR-related Third-Party Administrators (TPA) and service providers.
- · Managing the HR Audit process conducted by both Internal & External Auditors such as KPMG, ensuring all HR processes and documentation are organized for seamless processing. Identifying Auditor requirements, consulting with management, coordinating team efforts to provide necessary information, and adhering to procedures to successfully conclude the audit process.
- Managing the entire employee exit process, including terminations and resignations, proficiently ensuring all exit formalities, including HOD & Management approval, are satisfactorily completed, alongside proper final settlement procedures and gathering employee feedback.
- Ensuring proper maintenance of all HR documents, including Personnel Data, HR Database, Policies & Procedures, etc., through regular electronic and hard copy updates to facilitate smooth and efficient HR Department operations.
